How much does this customer owe?

You don’t need a ledger textbook. You need a number you can trust: what this person still owes, after every credit sale and every payment.

Nobody in a shop searches for “what is a customer ledger.” They search how much does this customer owe? Then: how do I write down a credit sale, a payment, a return, without losing the notebook.

The number is the sum, not a memory

If you erase “200” and write “250”, you cannot explain the extra 50 when they ask. A credit sale increases what they owe. A payment, or a return you accepted, brings it down. Tracking means a new entry each time. The balance is whatever the book adds up to.

Who goes in the book? Anyone you sell to on credit more than once. A supplier you owe money to belongs there too. People who always pay cash can wait until they start buying on credit.

A credit sale, then a payment

  1. Add their name once.
  2. Credit sale: date, amount, currency, a short note, marked as money they owe you (Receivable in Kaymn).
  3. Payment: a new entry so the balance falls. If it goes up, you marked it the wrong way.
  4. A return is its own entry. Don’t delete the sale.

Fifteen minutes at the end of the day beats a week of “I’ll write it later.” If you are leaving paper: put today’s balance in, then only new entries. Don’t retype years of notebooks.

Collecting: their statement, not the whole shop
